How to Set Up Scheduled Support Webinars
Set up a bookable session type (e.g. a demo or onboarding call) that people can schedule with your team — who presents it, when it's available, and what reminders go out.
Before you start
The Manage Support Settings right.
Steps
- Go to Settings → Support → Scheduled Support.
- Create a type — the bookable session itself: title, description, estimated length, whether it's password-protected, minimum advance-booking notice, and whether child organizations (if any) can use it too.
- Open the type and add presenters — team members who can run this session, each with a priority. Presenter assignment follows one of three strategies:
- Priority — offered to presenters in priority order.
- Round Robin — rotates evenly between presenters.
- Least Loaded — goes to whichever presenter currently has the fewest bookings.
- Add availability slots — specific date/start-time/end-time windows when this session type can be booked.
- Add reminders — how many minutes before the session a reminder goes out; you can add more than one.
- If your organization has child organizations, use restrictions to limit which of your availability slots (and what time range within them) a child org's people can book into.
Good to know
- Bookings respect the minimum advance-booking notice you set — someone can't book a slot with less notice than that.
- A type can be password-protected if you don't want it publicly bookable without one.
- A slot with no presenter available to fill it is effectively unbookable, even if the time window is open.
