How to Add People in Bulk from a File

Adding many people at once from a spreadsheet, instead of one at a time.

This runs through exactly the same creation process as adding somebody by hand — same validation, same invitation, same rules — so anything that would have been rejected individually is rejected here too, row by row rather than all at once.

Before you start

  • Your file should be a CSV. Export one from a spreadsheet if you have to.
  • Departments, job titles and roles have to exist already. A row naming a department you haven't created fails on that row.
  • You need the same permission as adding one person by hand.

Prepare your file

One person per row. Column names don't have to match anything — you'll map them on screen. At minimum include a name and an email address.

Decide whether your file has a header row, because you'll be asked. Getting this wrong is the most common problem with a bulk import: telling it there are no headers when there are means your column titles get imported as a person, quietly, and you end up with somebody called "First Name".

Steps

  1. Go to Settings.
  2. Open Team Members or Members, depending on who you're adding.
  3. Choose the bulk option — Add in bulk or Import.
  4. Upload your CSV.
  5. Say whether the first row is a header. Read it back before continuing.
  6. Map your columns onto KamoUniverse's fields. Each column on the left is one of yours; pick what it means on the right. Anything you leave unmapped is ignored.
  7. Set what everyone in the file has in common — usually the security role — so you don't need a column for it.
  8. Review the preview. It shows what will be created, per row.
  9. Confirm.

What you'll see

Each row is created independently. A row that fails — a duplicate address, a department that doesn't exist — is reported and skipped, and the rest still go through. You get a summary of what was created and what wasn't, with a reason per failure.

Everybody created is sent an invitation, exactly as if you had added them by hand.

If it doesn't work

One person is named "First Name". The header row was imported. Delete that person and re-import with the header setting correct.

Everything failed on department or job title. Those have to exist first, and they're matched on exact text. Create them, or correct the spelling in your file.

Some rows failed on a duplicate address. Those people already exist. Check whether they're deactivated rather than absent — reactivating is a different action from creating.
